These Terms and Conditions govern the use of our transportation services, ensuring clarity, transparency, and mutual understanding between Caledonian Tours and our valued clients. As we operate 24 hours a day, all year round, we have established the following guidelines to ensure a smooth, safe, and consistent experience for everyone.

Booking Policies

Reservations must be confirmed with a valid payment method. We recommend booking in advance to secure your preferred dates and services. We accept all payment methods, including credit cards, debit cards, cash or bank transfers.

Cancellation and Refund Policy

Understanding our cancellation policy is essential to ensure a seamless experience with Caledonian Tours. We recognise that plans can change, which is why we aim to provide clarity on our charges to help you make informed decisions. If you need to cancel your booking, please note that a minimal charge will apply based on the notice given. This policy not only protects our service but also allows us to continue providing the exceptional service you expect.

A full refund will be provided for cancellations made at least 72 hours prior to the scheduled booking time.

For cancellations made 48 hours before the booking, 75% of the total fee will be refunded (25% retained).

For cancellations made 24 hours before the booking, 50% of the total fee will be refunded.

Cancellations made on the day of the booking are non-refundable.

Liability Limitations

Caledonian Tours cannot be held responsible for any delays resulting from unforeseen occurrences like traffic delays or severe weather, and we remain committed to providing safe, punctual, and efficient travel experiences.

Privacy and Data Protection

At Caledonian Tours, safeguarding your privacy is our top priority, and any personal information you share with us during the booking process will be used solely for the purpose of providing our services and will remain confidential unless you give us explicit permission to share it.

Smoking Policy

We maintain a no-smoking policy in our vehicles for the comfort of all, applicable to both drivers and passengers. If you are a passenger who wishes to smoke, please notify your driver, and we will gladly make arrangements for stops at any time during your trip.

Passenger Compliance Guidelines

We maintain the authority to refuse travel to individuals whose behavior disrupts the safety and comfort of our drivers or passengers.

Vehicle Cleanliness and Care Policy

We take great care in maintaining our vehicles to the highest standard. Should a vehicle require additional cleaning due to spills, food, drink, or damage, a minimum charge of £80 will apply to cover professional valeting and any necessary time the vehicle is taken out of service.

Client Responsibility for Additional Expenses

For multi-day tours, Caledonian Tours does not cover additional expenses including, but not limited to, accommodation, meals, attraction entry fees, or other third-party costs incurred during the journey. These remain the responsibility of the client.

We are, however, pleased to provide recommendations and assist with arrangements upon request.

Meet and Greet

For Meet & Greet services, the driver will arrive approximately 20 minutes after the scheduled flight arrival time to allow for disembarkation and baggage collection. Should your arrival time change or you exit earlier than expected, please contact your driver directly by phone.

Route Changes & Unforeseen Disruptions

While every effort is made to follow the planned itinerary, Caledonian Tours reserves the right to adjust routes, timings, or stops due to circumstances beyond our control. This may include, but is not limited to, road closures, traffic conditions, weather, public events, or safety considerations across Edinburgh and wider Scotland. In such cases, we will always aim to provide a suitable alternative and ensure your journey remains as enjoyable and seamless as possible.
